The deal, in plain language.

These are the terms between your church and thechurch.tech. They are short because the deal is simple: you use the product to run your ministry, we keep it running and keep your data yours, and either of us can end it cleanly.

This is written in plain language so a pastor can actually read it. It says what we really do, and we hold ourselves to it. If your church has specific legal requirements, have someone qualified look it over and email us with questions.

Version 2026-08-22. When you create an account you tick a box agreeing to this exact version, and we record which version it was and when. If we change it, we ask you again the next time you sign in.

What the service is

thechurch.tech is web software for running a church from one place: people records and follow-up drafts, kids check-in, volunteer scheduling, giving records, email broadcasts, and video clips. It drafts your texts but does not send them: a text leaves from your own phone, from your own number, when you tap send. AI in the product drafts; a human at your church approves and sends. Your church agrees to these terms by ticking the box on the account signup screen. If we change them, we ask you to tick it again the next time you sign in.

Your account and your team

Keep your sign-in credentials safe and your account information accurate. Your church decides which leaders and volunteers get access and what they can do, and your church is responsible for how its team uses that access. If you believe an account has been compromised, tell us right away.

Acceptable use

Use the product for your church's own ministry. Only add information about people your church actually knows and has a reason to record, and honor people's wishes about being contacted: email goes out through us and texts go out from your own phone, and the consent rules for both are your church's to follow. Do not use the product to send spam, do not resell access, and do not probe, overload, or try to break the service or reach data that is not yours.

Plans and prices

Church plant, free

A brand new church plant runs free while it has 50 active people or fewer, children included in that count, and up to its first birthday, whichever comes first. Full product. We save a payment method when you sign up and charge nothing until one of those limits is crossed. When one is crossed, we charge that payment method $699 once: the $500 setup fee plus your first $199 month. Your church then moves to the plan below. That is the whole of the free plan: no trial period, and nothing else to sign up for.

Complete Platform, $199 per month

Every feature, every released AI capability, unlimited people. Plus a one-time $500 setup fee, where we install it with you. There is one complete paid plan; the subscription does not include ongoing manual church-administration service.

The $500 setup fee is charged once, the first time your church becomes a paying customer.

Billing is monthly through Stripe. If a price ever changes, existing churches get plain notice by email before it affects them; nothing changes silently.

Canceling and your data

Cancel any time, no contracts and no cancellation call. Your plan runs to the end of the period you already paid for and then stops. Your data stays yours the whole way: a pastor or admin exports every table your church owns from Settings, free, before or after you cancel, and we will produce a full export on request. Refunds are covered by the refund policy.

We do not sell your church's data, rent it, trade it, or hand it to advertisers, and that is a term of this agreement, not a preference. The promise is written out in full at the top of the privacy policy, including the short list of companies that do handle your data so the service can run.

What you can hold us to, and what we can't promise

We work to keep the service fast, correct, and available, and we take the kids check-in surfaces more seriously than anything else we build. But software is software: we cannot promise zero downtime or zero bugs, and the service is provided as-is. The product is a tool that helps your leaders; your church remains responsible for its own ministry decisions, including the supervision and release of children.

If we cause you loss, our total liability is capped at the amount your church paid us in the twelve months before the claim, and we are not liable for indirect losses like lost data you chose not to export or lost donations. If any of this section is unenforceable where you are, the rest still stands.

Ending an account

You can close your account whenever you want. We can suspend or close an account that is used to break these terms or to harm the service or other churches, and if we ever do, we will still give you your data export.

Governing law and changes

These terms are governed by the laws of the State of Texas. If we change the terms in a way that matters, we will update the date at the top and email active churches before the change takes effect. Questions go to cody@westtexas.ai. A real person answers within one business day.
