Refund policy
When money comes back, and when it does not.
Last updated: August 22, 2026
Churches run on tight budgets, so this page says both halves out loud. Here is every case where we return money, and the cases where we do not, with no fine print doing extra work.
This is written in plain language so a pastor can actually read it. It says what we really do, and we hold ourselves to it. If your church has specific legal requirements, have someone qualified look it over and email us with questions.
The policy
Monthly subscriptions
Cancel any time. Cancellation takes effect at the end of the billing period you already paid for: you keep full access until then, and you are not charged again. We do not refund partial months.
The $500 setup fee
If we have not begun your onboarding, meaning no setup call held and none of your data migrated, the setup fee is refunded in full on request. Once we have started the work, the fee covers that work and is not refunded. If we do refund it and you come back to us later, the fee applies again to that new setup, because it pays for the work each time.
The free plan
Nothing is charged, so there is nothing to refund. A church plant pays nothing while it has 50 active people or fewer, children counted, and up to its first birthday, whichever comes first.
What we do not refund
There is no satisfaction guarantee. We do not refund a month you used because the product turned out not to be for you, and we do not refund a setup fee for onboarding we already delivered. Cancel and you stop paying; that is the protection we offer, and we would rather say so here than let you find out by email.
Our mistakes
If we bill you in error, a double charge, a charge after you canceled, a wrong amount, we refund it in full as soon as you tell us or we catch it. That is not a favor, it is your money. Correcting our own mistake never costs you your setup fee: if you already paid it once and we reverse a wrong charge, your setup stays paid for.
How to ask
Email cody@westtexas.ai from your church's account email and say what you need. Refunds go back to the card you paid with, through Stripe, and typically land in 5 to 10 business days. Canceling itself never requires an email or a call; you can do it from billing settings any time.
Questions about any of this? Email cody@westtexas.ai and you will get an answer from the founder, not a ticket queue. A real person answers within one business day.
